Hezekiah University, Umudi (“the University”, “we”) is the data controller for personal data processed through this portal. We handle admission and student data as sensitive institutional information and process it in line with the Nigeria Data Protection Act 2023 and related regulations.
What we collect
- Account details: your name, email address, phone number and password (stored only as a secure hash).
- Application details: personal and contact information, next of kin, examination results (O-Level, UTME, Direct Entry, JUPEB or transfer), and programme choices.
- Documents you upload, such as your passport photograph, result slips, certificates and payment receipts.
- Records of payments, admission decisions, clearance, hostel allocation and messages with University offices.
- Technical information needed to keep the service secure, such as sign-in times, IP address and device type.
Why we use it
- To process and assess your application, including a preliminary eligibility check against programme requirements.
- To verify payments, documents and examination results.
- To communicate with you about your application, offer, clearance, hostel and studies.
- To create and manage your student record once you are admitted, using the same account.
- To keep the portal secure, prevent fraud and meet our legal and regulatory obligations.
We collect only what is needed for these purposes. Automated checks in the portal are preliminary: every final admission decision is made by authorised University staff.
Who can see your data
Access is limited to authorised University staff whose role requires it — for example, Admissions, Finance, ICT, Hostel, Medical and your Department — and every privileged action is recorded in an audit trail. We may share information with examination, regulatory or government bodies where required to verify results or to comply with the law. We do not sell your personal data.
How we protect it
- Encrypted connections (HTTPS) for all traffic.
- Private, access-controlled storage for uploaded documents — files are never publicly listed.
- Role-based access, multi-factor authentication for staff, and audit logs of administrative activity.
- Rate limiting and other safeguards against unauthorised access.
How long we keep it
We keep application records for as long as needed to complete the admission process and meet our record-keeping obligations. If you become a student, your records form part of your student file and are kept according to the University's records policies.
Your rights
Under the Nigeria Data Protection Act 2023, you may:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete data or restrict its use, where the law allows;
- object to certain processing, or withdraw consent where processing relies on consent;
- lodge a complaint with the Nigeria Data Protection Commission.
